Use one ordered PDF per yearbook or volume. Name the file with its year and publication title before uploading it. The direct PDF upload limit is 250 MB per file in the website editor and Customer Portal Media Library. For a larger yearbook, keep the readable original in a Drive or Dropbox folder the Rocket team can open. Then submit a data-entry request with the Rocket folder where it should appear. Rocket can confirm how to add it and how long it will take.

Add one PDF

1

Open the destination folder

Navigate to the folder where the document should appear.
2

Add a Flip Book

Select Settings & Layouts → Add Content → Flip Book, or open an existing Flip Book. Then select Media → Flipbook Media in the editing bar on the right.
3

Add the PDF

Upload a new PDF, or select Browse Media Library to use a PDF that is already there. You do not need to upload the same PDF again. Check the file’s year and title before selecting it.
4

Name it clearly

Replace New Flipbook with the real year or title. A clear name improves navigation and search.
5

Test it

Open several pages, search for known text, and test the document on the devices visitors use.
You can also ask Rocket Assistant to help upload a PDF. You can create and name an empty Flip Book before adding its PDF. Its name alone does not attach a file or give visitors pages to read. Return to Media → Flipbook Media when you are ready to add the document.

Add captions to existing Flip Book media

To describe a photo already in a Flip Book, edit the existing media item.
  1. Sign in and open the Flip Book with the editing bar open.
  2. In the editing bar on the right, select Media → Flipbook Media to see its media in a gallery.
  3. Select the caption pencil above the photo you want to describe.
  4. Enter the description in Caption/Alt Text, then select Save.
  5. Close the media editor and editing bar, then check the photo in the public Flip Book.
Use the upload controls when you need to add more media. You do not need to upload the photo again to add its caption. The caption and alt text (a description that a screen reader can read aloud) are saved with the photo in the Media Library. If you use that same photo elsewhere, the description changes there too. Upload a separate copy when another page needs a different description. For more on reused media, see manage the Media Library. If a caption uses a different language from the site, set the caption’s language from the same caption editor. If the caption pencil is unavailable, contact support@rocketalumnisolutions.com with the Flip Book link and a screenshot of the media gallery.

Prepare Word or InDesign files

Rocket does not display Word or InDesign source files directly. Export the finished document as a PDF before adding it as a Flip Book. For batch conversion help, put the source files in a Drive or Dropbox folder and submit a data-entry request. Include the intended destination and describe what the finished document should look like. Rocket will confirm what can be processed.

Submit many yearbooks

  1. Put one complete, ordered PDF per volume in a Drive or Dropbox folder.
  2. Name every file consistently.
  3. Keep a list of the years you are sending. Note any missing books or books still being scanned.
  4. Submit a Customer Portal data-entry request. Share the files and tell us which Rocket folder to put them in.
For physical yearbooks, use the current yearbook scanning intake or ask Customer Success for the current process.

Fix common PDF problems

Pages are out of order

Put the pages in the right order in your original document, save a new PDF, and upload it again. If the Rocket team is adding the files for you, tell them the filename and which pages are out of order.

Pages are blurry or soft

Send support your original scan and a page number that looks blurry. Ask whether the team can improve how it appears in Rocket. Making a blurry file smaller will not make it clearer.

Text cannot be found

Search works when the PDF contains readable text or when text recognition (OCR) can read the words in scanned pages. Use a clear, high-quality original. If you cannot find words you can see on the page, contact support to ask whether the document needs to be processed again.

The touchscreen keyboard covers search results

Select Hide keyboard after entering the search text. The results remain visible while the keyboard is collapsed. Select Show keyboard or tap the search field to enter another query.

The document loads slowly

Large files, many pages, an older device, or a slow internet connection can affect loading. Try reducing the file size while keeping names and text readable, then test it on the touchscreen visitors use. When contacting support, send a link to the Flip Book and a page number where you see the problem. Tell us whether you are using a computer, phone, or touchscreen. For example: “Page 24 looks blurry on the touchscreen, but it looks clear on my laptop.”
