# Prepare and send fundraising emails with Digital Warming

> Prepare personal fundraising emails, review recipients before sending, and find replies in the Customer Portal or your school inbox

Digital Warming helps you prepare personal fundraising emails using your school's researched history. Preparing drafts does not send them.

If sending or a mailbox connection is unavailable, you can copy drafts to your email app. Contact [support](https://rocketalumnisolutions.mintlify.site/getting-started/get-support.md) for help with setup.

## Prepare drafts for selected people

1. Sign in to the Customer Portal and open **Digital Warming** for the intended site.
2. Open a completed search from **Recent research**. To start one, describe the people or team under **What would you like to discover?**, then select **Start research**. Wait for it to finish.
3. In **People**, select the recipients. **Select all matching** includes people beyond those currently shown.
4. Select **Preview personal emails**.
5. Under **What are you raising funds for?**, describe the project, who the email is from, and any donation link or suggested gift you want included.
6. Select **Prepare emails**.

You can prepare a draft before finding the person's email address.

## Review, edit, and copy an email

1. Choose a person under **Draft messages**.
2. Open **Research behind this email** to check the supporting details.
3. Edit **Recipient email**, **Subject**, or **Message**. Changes save automatically.

Use **Copy email** if you prefer to send from your email app. **Regenerate** replaces the selected person's draft using the campaign details.

**Delete draft** removes that draft, but keeps the person's research, sent messages, and replies.

## Set up sending and choose where replies go

1. Open **Email settings** at the top of Digital Warming.
2. Choose a sending method under **How should Rocket send email?**
3. For **Google / Gmail** or **Microsoft / Outlook**, select **Connect Google** or **Connect Microsoft**. Your school may require IT approval.
4. Complete the sender details and school mailing address shown. Changes save automatically.
5. Under **Where should replies go?**, choose:
   * **My existing school inbox:** read and answer replies in that inbox. They will not appear in Rocket.
   * **Handle replies in Rocket:** read and answer replies under **Email history and replies**. People with access to your school's Portal can see those conversations.
   * **Replies in Gmail and Rocket:** when offered for Google, replies to conversations started here stay in Gmail and also appear in Rocket.

For a connected mailbox, select **Check connection**.

If you chose **School domain (DNS setup)**:

1. Select **Get DNS records**.
2. Select **Copy DNS instructions** and give them to school IT. Ask IT to keep the school's existing email records.
3. Return and select **Check DNS** after IT finishes.

Setup is complete when **Email settings** shows **Ready to send**.

If a connection needs renewing, use **Reconnect Google** or **Reconnect Microsoft**. **Disconnect mailbox** stops sending from that connection; it does not delete message history.

## Review and send selected emails

1. From your drafts, select **Send emails** to open the review without sending.
2. Uncheck **Include in this send** for any email you want to leave as a draft.
3. Select **Send now** to send the checked emails immediately.

Sending continues after you leave the page. Follow progress under **Email history and replies**.

If you see **Acceptance unknown — do not resend**, check email history and ask support for help before sending again. Rocket cannot yet confirm whether the email was accepted. **Delivered to recipient server** does not guarantee it reached the person's inbox.

## Read and answer replies

Open **Email history and replies** and choose a conversation to read and answer replies. If you chose **My existing school inbox**, answer in that inbox instead.

With **Replies in Gmail and Rocket**, syncing may take time. Check the last-sync message or any reconnect message in the conversation. This view shows conversations started through Rocket, not your whole Gmail inbox.

Sent conversations and replies remain available after the research is no longer available.

## Return to saved drafts

Open the search under **Recent research**, then select **Preview personal emails**. Unsent drafts stay with their research; deleting the research also deletes its drafts.

## If preparation or saving stops

* If preparation stops, completed drafts stay saved. Select **Prepare emails** again to continue with selected people who still need drafts.
* If edits do not save, keep the subject and message filled in and select **Retry saving**.
* If Rocket says the draft changed in another window, copy your edits before choosing **Reload drafts**. Reloading removes any changes you have not saved.
* If saved drafts do not load, select **Try loading again**.

If the problem continues, contact [support](https://rocketalumnisolutions.mintlify.site/getting-started/get-support.md) with the research name and the error message.
